POSITION OVERVIEW

The Chief of Staff serves as the primary operational leader of the JAG Global Ecosystem, working directly with the Founder to translate vision into execution. This role is responsible for managing all operations, coordinating across business units, overseeing team development, and ensuring the mission advances efficiently.

Reports to: Jeffrey Alan Gruhlke, Founder & CEO

KEY RESPONSIBILITIES

1. Operational Leadership

  • Oversee day-to-day operations across all entities (JAG Program, True Divine, JAG Global)
  • Manage project timelines, deliverables, and resource allocation
  • Coordinate between departments and ensure alignment with strategic priorities
  • Implement and maintain operational systems (Notion, project management, workflows)

2. Team Management

  • Recruit, onboard, and manage staff and contractors
  • Oversee volunteer coordination and Mission Helpers Network
  • Manage relationships with external partners, vendors, and service providers
  • Build organizational culture aligned with mission values

3. Strategic Execution

  • Translate Founder’s vision into actionable plans and timelines
  • Track progress against Phase 1, Phase 2, Phase 3 milestones
  • Identify bottlenecks and solve problems proactively
  • Prepare reports, updates, and presentations for stakeholders

4. Financial & Administrative

  • Manage budgets, expenses, and financial tracking
  • Oversee administrative tasks, contracts, and legal coordination
  • Coordinate with accountants, lawyers, and other professional services
  • Maintain organizational documentation and institutional knowledge

5. Investor & Partner Relations

  • Support investor communications and fundraising activities
  • Prepare investor materials, decks, and updates
  • Manage partner relationships and strategic opportunities
  • Coordinate media, PR, and external communications

IDEAL QUALIFICATIONS

Required

  • 5+ years operational or executive leadership experience
  • Strong project management and organizational skills
  • Experience managing teams, contractors, or volunteers
  • Excellent written and verbal communication
  • Proficiency with digital tools (Notion, Google Workspace, project management)
  • Ability to work independently and make decisions under ambiguity

Preferred

  • Alignment with mission values (consciousness, awakening, service)
  • Experience in startups, nonprofits, or mission-driven organizations
  • Background in publishing, education, technology, or wellness
  • Understanding of AI tools and automation
  • Experience with investor relations or fundraising

Initial Phase (Pre-funding):

  • Volunteer or equity-based compensation
  • Significant equity stake and founding team status

Post-funding:

  • Competitive salary commensurate with experience

Personal Support & Mission Gateway

Role Description | December 2025

PURPOSE OF THIS ROLE

The Point of Contact (POC) serves as Jeff’s primary support person and the gateway between Jeff and the outside world. This role is about protecting Jeff’s energy, managing his time, and ensuring he can focus on the mission work that only he can do.

Unlike the Chief of Staff (who manages operations), the POC is focused on Jeff personally — his wellbeing, his schedule, his immediate needs, and filtering all incoming requests.

CORE FUNCTIONS

1. Personal Guardian

  • Look after Jeff’s physical and emotional wellbeing
  • Ensure he eats, rests, and maintains health during intense work periods
  • Provide human connection and support during the mission
  • Be a trusted presence he can rely on

2. Gatekeeper

  • Receive and filter ALL incoming requests, messages, and communications
  • Determine what reaches Jeff and what can be handled by others
  • Protect Jeff from energy drains, distractions, and non-essential demands
  • Say “no” on Jeff’s behalf when necessary

3. Communication Hub

  • Be the single point of contact for anyone trying to reach Jeff
  • Route requests appropriately (to Chief of Staff, volunteers, or directly to Jeff)
  • Maintain communication logs and follow-up systems
  • Draft and send communications on Jeff’s behalf when appropriate

4. Priority Manager

  • Help Jeff stay focused on highest-priority work
  • Organize his day/week around mission-critical tasks
  • Remind him of commitments, deadlines, and priorities
  • Push back when he’s taking on too much

5. Practical Support

  • Handle immediate practical needs (errands, logistics, appointments)
  • Manage calendar and scheduling
  • Coordinate travel and logistics when needed
  • Solve immediate problems so Jeff can stay focused
